Project and Application Process

Our University Erasmus+ Coordination Office organizes student and staff exchange activities through KA171 – Mobility Projects with Partner Countries outside the Erasmus+ Programme Countries. Within this scope, cooperation is established with higher education institutions in various countries to support international academic and cultural interaction.

Project and Application Process

1. Project Application

  • KA171 projects can only be submitted to the European Commission by higher education institutions holding an ECHE (Erasmus Charter for Higher Education).
  • Applications include the countries to cooperate with, types of mobility (student study/traineeship, staff teaching/training), quotas, and quality criteria.
  • If the project is accepted, the related mobility activities are planned and carried out by our university.
  • Individual applications are not accepted; only institutional applications are possible. Therefore, staff intending to apply must submit their project proposals to our Coordination Office within the annual European Commission call, typically opened in January–February.
  • The Turkish National Agency evaluates submitted projects and announces those awarded grants. 
2. What Happens If the Project Receives a Grant?
  • A grant agreement is signed between the institution receiving support and the Turkish National Agency.
  • The typical project duration is 36 months, during which all activities must be completed.
  • After the project is accepted and the agreement signed, the responsibility for implementation passes to our Erasmus Coordination Office.
  • Announcements for student and staff mobility related to the project will be made.
  • Staff whose projects receive grants have no legal entitlement to the project, but they may earn additional points according to the Erasmus+ Program Implementation Guide if they apply for mobility.
3. Student and Staff Applications
  • Individual applications for mobilities within the project must be submitted to our university’s Erasmus Coordination Office, not directly to the European Commission.
  • Application announcements and details (requirements, quotas, target countries, dates) are published on our website by the Coordination Office.
  • Applications are evaluated by relevant committees at our university, and successful candidates are announced. 

4. How to Write and Submit a Project Based on the Annual European Commission Call?

4.1. Follow the Call
Each year in January–February, the European Commission opens calls for KA171 and other Erasmus+ projects. These calls and application guides are published on the Turkish National Agency’s website and the European Commission’s official pages. As the call period approaches, our Coordination Office will remind you by email and request submission of any project proposals.

4.2. Project Preparation Process

  • Define the scope of your project: Which countries will you cooperate with?
  • Decide on the mobility types planned (student study, traineeship, staff teaching, training).
  • Contact partner institutions to clarify cooperation conditions.
  • Collect the necessary information for the application form and annex documents.
  • Carefully review the current Erasmus+ Program Guide published by the European Commission and the Turkish National Agency’s application guidelines.

4.3. Filling in the Application Forms
Complete the attached project application form and required annex documents accurately and fully.

4.4. Submission to the Erasmus+ Coordination Office

  • Submit the prepared project application and annexes to our Coordination Office by the deadline during the call period.
  • Submissions can be made via email or delivered physically to our office (submission details and deadlines will be announced by the Coordination Office).
  • After preliminary evaluation and approval by the Coordination Office, the project application will be officially submitted to the European Commission.
